How your personal information is handled when you apply and complete an AI-led interview through Aiinak Recruit.

Who handles your data
When you apply to a role and take an interview through Aiinak Recruit, the employer you applied to is the data controller — they decide why your information is collected and used. Aiinak provides the recruiting and AI-interview technology and processes your information on the employer’s behalf as their processor.

Information we collect
- Application details you provide — name, email, and anything you submit with your application.
- Interview recordings & transcript — audio (and video, where the role’s interview uses it) captured during your AI interview, and the text transcript produced from it.
- Your responses to the interviewer’s questions and any information you choose to share during the interview.
- AI evaluation — an automated scorecard (scores, strengths, concerns, a recommendation) generated from your interview.
- Technical data — basic device/connection information needed to run the interview reliably.
How the AI interview works
Your interview is conducted by Iris, an AI interviewer. Your spoken answers are transcribed and analysed by automated systems to generate a structured scorecard against the role’s criteria. This is explained in more detail in our AI Screening Agreement, which you confirm before the interview begins.
A human makes the hiring decision. The AI scorecard is a screening aid for the employer’s hiring team — it is not the sole basis for a final decision, and you can request human review (see “Your rights”).
How your information is used
- To run your interview and produce your scorecard.
- To help the employer evaluate your application for the role.
- To operate, secure, and improve the interview service.
- To meet legal and record-keeping obligations.
We do not sell your personal information, and we do not use your interview content to train third-party advertising models.
Service providers
To run the interview we use trusted infrastructure providers — including real-time audio/video, speech-to-text, and large-language-model providers — which process your interview content solely to deliver the service under contractual confidentiality and security obligations. They are not permitted to use your content for their own purposes.
How long we keep it
Your interview data is retained for as long as the employer needs it to assess your application and meet their legal obligations, after which it is deleted or anonymised. Retention periods are set by the employer; contact them or us to request deletion sooner.
Your rights
Depending on where you live, you may have the right to:
- Access the personal information held about you and receive a copy.
- Correct inaccurate information.
- Delete your information.
- Object to or restrict certain processing.
- Request human review of an automated evaluation, and to contest a decision that significantly affects you.
- Withdraw consent at any time, without affecting processing already carried out.

Security
We use industry-standard technical and organisational measures to protect your information in transit and at rest. No system is perfectly secure, but we work to reduce risk and respond promptly to any incident.
Changes to this policy
We may update this policy as our service evolves. Material changes will be reflected by the “Last updated” date above. Continued use of the interview service after an update means you accept the revised policy.
